At FPT University, admission is not simply about promotion or attracting candidates. It is a clear, well-prepared procedure carried out in a professional and tailored to each target group. Each target audience is addressed through specific tasks, clear requirements, control mechanisms, and periodic improvements.

Below is the summary of the Admission Procedure following the PDCA (Plan – Do – Check – Act) cycle.

The Admission Procedure is aimed at five distinct groups:

1. Candidates

1.1. Communicating to candidates

  • Plan: Follow the yearly admission plan. Include topic, number and content of communication pieces, channels, timeline, person in charge, budget, and KPIs.
  • Do: Carry out all activities as approved; meet the planned amount, timing, and communication channels; complete KPIs. Any change must be re-approved and updated on time.
  • Check: Report daily, weekly, monthly, or quarterly to the Admission Team Leader and Board of Management.
  • Act: Organize review meetings, prepare summary reports, suggest changes, and follow up on results.

1.2. Consulting

  • Plan: Build consultation scripts for each period and audience. Follow admission regulations.
  • Do: Segment and take care of potential candidates. Give advice, receive applications, check admission eligibility, standardize data, and transfer to the training department.
  • Check: Report after each phase or monthly, including lead numbers, bookings, screening, enrollments, and comparison with the plan.
  • Act: Improve after each campaign. Store all improvement records properly.

2. Admission regulations and policies

2.1. Development

  • Regulations: Built according to MOET guidance and internal consultation. Includes admission information, scholarships, fees, documents, and forms.
  • Policies: Includes scholarships, financial aid, income, entry quality, and internal competition handling. All must be approved before the recruitment season starts.

2.2. Communication and application

  • Issued on time. Shared with all related departments and staff. Admission officers must follow all regulations and policies correctly.

2.3. Review

  • Carried out regularly (monthly, quarterly, annually) to collect feedback and suggest necessary adjustments.

2.4. Improvement

  • Adjust based on feedback while keeping the original goal and direction unchanged.

3. Admission materials

3.1. Development

  • Head of Admission Department is in charge of preparing sales kits, websites, fanpages, publications, and other materials for each stage. All information must be accurate and approved.

3.2. Usage and communication

  • Materials must reach the right audience at the right time.

3.3. Review

  • When changes happen, all materials must be updated quickly.

3.4. Improvement

  • Make improvements based on regular reports. Keep proper records of all updates.

4. High schools

4.1. Selection and development of Big Accounts and school activities

  • Make a list of Big Accounts and activity plans based on yearly enrollment targets and related regulations.
  • Main goals: Reach the number of NE/Big Accounts as planned; increase F-Index every year.

4.2. Implementation

  • Complete minimum targets for each campaign; ensure that at least 80% of planned activities are carried out.
  • Scholarships: Build the list, send for leadership approval, and complete financial support.

4.3. Evaluation

  • After each campaign, collect results and evaluate school partners’ performance.

4.4. Improvement

  • Review each Big Account’s effectiveness and suggest proper changes.

5. Market Research

5.1. Planning and evaluation

  • At the end of each year, prepare a market research plan to adjust the next admission year’s goals.

5.2. Data collection

  • Collect market data such as tuition, competitor activities, popular industries, job trends, learner profiles, etc.

5.3. Adjustment

  • Based on research results, update and adjust admission activities.

5.4. Improvement

  • Organize review meetings, evaluate activities, and suggest improvements for the next period.
